⭐ Board Members: Duties & Responsibilities
This section is kept formally structured for clarity and transparency.
President — Minimum Responsibilities
The President provides overall leadership and direction for CASCI, including:
Leadership & Meetings
- Schedule, preside over, and conduct all Board and business meetings
- Prepare meeting agendas
- Coordinate the work of Board members and committees
- Initiate communication and ongoing discussion among Board members
- Promote team cohesion and organizational continuity
Annual Conference Coordination
- Serve as hotel liaison
- Ensure contracts with conference vendors (hotel, dinner venue, A/V, etc.) are completed
- Collaborate with Host County and Board members
- Approve conference presenter letters and forms
- Coordinate continuing education credits
- Send thank-you letters to the Host County
Communications & Records
- Update letterhead and distribute to the Board
- Maintain and update Board contact information
- Prepare membership drive announcements
- Distribute Annual Conference announcements
- Write “President’s Message” for website or newsletter
- Maintain all CASCI records until next President assumes office
Organizational Stewardship
- Maintain registration with the California Secretary of State
- Update the Golden Quill List
- Ensure Host Counties are assigned to a Member-at-Large
- Support listserv and website development
- Oversee ad hoc duties and assignments
Vice President — Minimum Responsibilities
The Vice President acts as support to the President and assumes the President’s role if vacated.
Duties Include:
- Attend Board meetings, vote on issues, and engage in discussion
- Coordinate Speaker/Presenter topics for the Annual Conference
- Solicit training topic suggestions from membership
- Prepare presenter letters and forms for Presidential approval
- Serve as liaison to Host County for securing speakers
- Encourage donations of conference materials (copying costs, etc.)
- Act as Regional Representative Coordinator
- Encourage and support regional trainings
- Provide regular updates at Board meetings
- Assist with conference planning and activities
- Encourage CASCI membership and conference attendance
Secretary — Minimum Responsibilities
The Secretary maintains organizational records and oversees communication.
Board Meetings
- Attend all Board meetings and participate actively
- Record and finalize minutes
- Maintain “CASCI Minutes Notebook,” including:
- Past minutes
- Newsletters
- Membership directories
- Constitutions & ethics standards
- Conference evaluations
- Board contacts
- Investigator standards
- Job descriptions
- Distribute minutes 45 days before next Board meeting
Annual Conference Duties
- Participate in conference planning
- Suggest minimum two speakers/topics
- Assemble conference packets
- Order complimentary gifts
- Record conference minutes
- Prepare name tags, certificates, and thank-you notes
- Compile and distribute conference evaluations
Newsletter & Membership
- Co-develop and distribute the CASCI Newsletter (Jan/Feb & May/June)
- Encourage membership and conference attendance
- Assist with membership announcements
- Maintain communication and respond to correspondence
- Update website content as needed
- Prepare “New Board Member” and “New Region Rep” packets
Treasurer — Minimum Responsibilities
The Treasurer manages CASCI’s finances, records, and reporting.
Board Duties
- Attend all Board meetings
- Provide current Treasurer’s Report
- Prepare Annual Treasurer’s Report for the conference
- Maintain accurate financial records for at least 7 years
- Reconcile bank accounts monthly
- Pay annual tax-exempt status fees
Membership
- Process membership payments
- Maintain membership list
- Issue membership cards and receipts
- Deposit checks and track all transactions
Conference-Specific Duties
- Process registration forms, workshop selections, and dinner choices
- Create attendee and meal lists
- Prepare workshop rosters
- Coordinate with hotel on attendee counts and arrangements
- Manage payment schedules with the hotel
- Prepare Treasurer’s Conference Report
- Handle late registrations and cancellations
- Prepare and distribute meal tickets (if required)
Members-at-Large — Minimum Responsibilities
Members-at-Large support CASCI in numerous operational and coordination roles.
Responsibilities Include:
- Recruit Host Counties for future conferences
- Secure and support Host County Representatives
- Find 1–2 conference speakers per year
- Coordinate Golden Quill Award
- Update Constitution when needed
- Serve as committee/task force liaisons
- Manage the Google Groups listserv
- Support website development
- Prepare scholarship recipient letters
- Acquire raffle prizes for evaluations
- Assist with promotional CASCI letters
- Take conference photos for archives
- Act as Hospitality Suite Coordinators
- Tally conference evaluations
- Support Host County Representative with logistics and expectations
